Events Coordinator
Support the general management in planning, organizing, managing and coordinating the Courons Gatineau event, as well as managing partnerships. Ensure that the necessary elements are in place to ensure the satisfaction of participants and partners, while respecting budgets, deadlines and quality standards.
Main responsibilities and tasks:
Event planning
- a) Budget management: To monitor the budget and ensure that financial limits are respected.
- b) Programme development: Designing and organising elements of the programme.
Logistics coordination
- a) Supplier management: Selecting and coordinating certain suppliers.
- b) Volunteer registration management: Support the management of the volunteer registration system.
- c) Materials and equipment: Hire, purchase and install certain necessary equipment.
Communication and promotion
- a) Creation of communication media: Design invitations, posters, digital advertising, etc.
- b) Managing the promotion of the event: Help promote the event on social networks and via various communication channels.
- c) Relations with participants: Answering participants’ questions, managing specific requests.
Managing speakers and certain elements of the programme:
- a) Coordination of speakers : Manage suppliers, presenters, artists, exhibitors, partners and guests, including their logistical needs.
- b) Programme monitoring: Ensuring that the event programme is adhered to, managing unforeseen events and guaranteeing smooth transitions between the various stages.
Event supervision
- a) Team management: Leading and motivating teams of volunteers on site and taking part in pre-event organisation meetings.
- b) On-site monitoring: Supervising the set-up and dismantling of the event, as well as the smooth running of each activity.
Partnership management
- a) Identifying potential partners: Seeking strategic partners for the event.
- B) Negotiating partnerships: Negotiating the terms of partnership agreements, including financial aspects, visibility and contributions in kind.
- c) Partnership management: Ensuring effective management of partnerships, as well as of the visibility and benefits promised.
- d) Visibility reports and partner benefits:
Closing and evaluation of the event
- a) Post-event evaluation: Design the end-of-event report setting out the evidence of visibility and benefits delivered for partners. Collect feedback from participants and customers to assess the success of the event and identify areas for improvement for future events.
- b) Payment settlement: Ensure the settlement of invoices and the management of supplier payments.
